Match the correct documents first

Before comparing amounts, establish that the invoice and rate confirmation refer to the same carrier and load. Use load identifiers, carrier MC or DOT number, origin and destination, pickup and delivery dates, and equipment type. A confident document match is the foundation for every later result.

Normalize line items without erasing meaning

“Fuel,” “FSC,” and “fuel surcharge” may represent the same charge category. “Detention” and “waiting time” may not if contract terms define them differently. Normalization should group equivalent labels while preserving the original wording and document location.

Four useful variance classes

ClassMeaningReviewer action
Amount varianceSame charge, different amountCheck rate, quantity, and arithmetic
Unagreed additionInvoice line absent from agreementFind approval or request evidence
Missing carrier chargeAgreed line absent from invoiceConfirm whether intentionally waived
Term varianceAmount matches but a condition does notReview timing, free time, or cap

Keep the original evidence attached

A reconciliation should show the exact rate-con text, invoice line, normalized category, calculated variance, and supporting document. That lets the reviewer validate the result and explain the decision later.

IMPORTANT

The rate confirmation is evidence of the documented agreement, but amendments and separately approved accessorials may modify it. The audit should search for those records before final disposition.
