Security

Olympian AI, LLC · Last updated: September 22, 2026

Freight documents contain commercially sensitive information — carrier rates, routing details, shipper relationships. We take that seriously. This page explains plainly where your data goes, who can see it, and what happens when you stop using the service.

This page states the controls we can describe publicly. Customer-specific architecture, retention, and data-flow details are confirmed during onboarding or a security review.

Where data is stored

The public website is delivered through Cloudflare's network. Customer document storage and processing locations depend on the services configured for the customer and are documented during onboarding or security review.

Encryption

Layer Protection
In transit TLS 1.2 or higher for all connections. This site and the processing endpoint are HTTPS-only.
At rest Managed storage services encrypt retained data at rest. Provider and implementation details are available during customer security review.

What we retain and for how long

The service processes documents in two stages:

  • Raw documents (carrier invoices, rate confirmations, PODs): Retained only as needed to process the requested audit and operate the service. The applicable schedule is documented during onboarding or in the customer agreement.
  • Reconciliation output (exception reports): Retained while needed to provide audit history and removed following a verified deletion request, subject to legal and contractual obligations.
  • Contact information: Name, company, and email are retained for as long as you're a customer and deleted within 30 days of a deletion request.

Who can access your data

Only Olympian principals have access to customer data. We do not share your documents, reports, or contact information with any third party for any reason other than operating the service.

Support access: if you contact us about a specific document or result, we may review that record to help resolve your question. We will not access customer data for any other purpose.

There is no shared access between customers. Your documents and reports are isolated from other accounts.

No third-party analytics on customer data

The public website uses Google Tag Manager to manage measurement tags. Customer invoice documents and reconciliation contents are not sent to website analytics or advertising platforms.

AI support chat

Questions sent through the website help widget are processed through OpenRouter using an OpenAI model. The chat is for general questions about Olympian only. Do not paste invoices, rate confirmations, payment details, credentials, or other sensitive information into it. Customer invoice documents are not sent to the support chat.

Email handling

You forward carrier invoices to a dedicated Olympian processing address. Those emails pass through email infrastructure to reach our system. We do not read email content beyond the invoices you explicitly forward for processing. Forwarded emails are not used for any purpose other than extracting and auditing the invoice they contain.

Website transactional messages use Resend. Customer invoice intake infrastructure is documented during onboarding because it may differ from the public contact-form flow.

FMCSA data

Carrier authority verification queries FMCSA's public database. This query includes the carrier's DOT number. No other customer data is sent to FMCSA. FMCSA data is public information maintained by the US Department of Transportation.

When you leave

If you stop using the service and submit a verified deletion request, we will remove reconciliation history, contact information, and retained document data subject to applicable legal and contractual obligations. The completion schedule is confirmed when the request is verified.

To request deletion, email ramos.lucas@aiolympian.com with the subject line "Data deletion request."

Vulnerability disclosure

If you find a security issue, please report it to ramos.lucas@aiolympian.com. We will acknowledge receipt within two business days and work to address valid findings promptly.

We don't have a bug bounty program at this time.
