The four layers of freight AP automation

  1. Intake: collect invoices and supporting documents into one traceable flow.
  2. Matching: connect each document to the correct carrier, load, and agreement.
  3. Audit: compare amounts, identity, history, and supporting evidence.
  4. Decision: route exceptions to people with authority and preserve their outcome.

Good automation candidates

  • File intake, naming, indexing, and duplicate-document detection.
  • Extraction of invoice identifiers, amounts, dates, and line items.
  • Deterministic comparisons against TMS and rate confirmation data.
  • Collection of public carrier-record context.
  • Exception packet creation and reminder routing.

Keep these decisions human-owned

Payment release, carrier disputes, one-off commercial exceptions, fraud escalation, and conclusions based on incomplete records should remain with named reviewers. Automation should make those decisions faster and better documented, not invisible.

CONTROL DESIGN

Every automated result needs a source, a confidence boundary, and a path for a reviewer to disagree.
